Taxonomy Extension by SharePartXXL
The Taxonomy Extension for Microsoft SharePoint enables documents and list items in a SharePoint-based portal to be organized cross-site as part of a connected content network and knowledge model. SharePoint items are associated by category using one or more custom taxonomies. Users can organize documents and other portal contents in the way that they think and work - independent of the storage location. With that extension the SharePoint portal really can become a place to share knowledge as well as content.
- Tree-structured cross-site cross-list cross-type categories are centrally managed in one global category list per WSS/MOSS site collection or site-collection wide (depending on version). Additional columns for parent category, synonymes, related categories and rules for category assignment are provided by default. Simply add your own columns and views to customize the category list display for any web parts. It's simply a SharePoint list - so it is realy easy to handle.
- The category tree can be displayed as additional SharePoint site navigation structure automatically (by default on the left hand side). The navigation is linked to category-based sites with metadata-based lists of all items and documents tagged with the given category. The category-based sites can be customized in look and feel by placing additional web parts for improved navigation, e.g. tag cloud, A-Z index or category information web part.
- The tree-style categories can be displayed on any page using the Category Tree Web Part based on customizable category views. The numer of items and documents that are tagged with this category can be shown. The categories are linked to category-based result lists that shows all items and documents that have the given category assigned.
- The categories can be displayed as flat A-Z directory index on any page using the Category Tree Web Part with different settings. The numer of items and documents that are tagged with this category can be shown. The entries are linked to category-based result lists that shows all items and documents that have the given category assigned.
- Consistent lists of metadata of all items that are tagged with the selected category are shown on the category-based sites with default attributes automatically. These lists includes metadata from all tagged items and documents: cross-site, cross-list and cross-type - independend of the storage location. Several helpful views are provided by default.
- Cross-site views of metadata from all items of a given category are provided , e.g. By Source List, By Modification, By Author, By Content Type or calendar based. Additional views and custom attributes / metadata can be easily configured using list based templates. Using these views it is very easy to have a top-level view to all content of a given category or topic: Simply to see: Who works on what? What has changed in last weeks? Where are interesting sites and lists?
- Subscriptions to category-based RSS feeds and e-mail alerts for all new and changed items cross-site, cross-list and cross-type per category are provided to easily track information.
- Lists and libraries are easily added to the taxonomy system by simply adding one additional pre-configured column to the list definition. This column provides a cross-site lookup to the category list.
- One or more categories can be added to a list item or document in default SharePoint edit mode using a simple and easy to use form based UI with category search and suggestion features, based on last used sets for the given list / library or with the help of rule-based categorizers. By configuration the whole category can be shown or subtrees only.
- Categories can be automatically suggested based on rules or last used sets. Internal and external categorizers can be used to suggest categories based on the content of the current item or document. Different types of rules are supported depending on type of categorizer used.
- Assigned categories are displayed directly in the list view and the detail view of an item as links to category-based result pages. Related content can be displayed directly in the detail view of an item linked for quick access. The displayed information can be customized using configurable views.
- A Tag Cloud Web Part can be used for displaying categories ranked by number of assignments in Web 2.0 style and a Category Information Web Part are included for quick navigation.
- The Category Information Web Part can be placed on any page to display information about the configured category. By default the webpart is placed on the category-based sites to dynamically display additional information about the currently selected category, e.g. description or synonyms. The Category Information Web Part can show additional links to parent and child categories for quick navigation. The information that is diplayed can be configured using views.
- All custom configuration settings are centrally administrated in the Taxonomy Configuration Center.
- Tasks can be started in the Taxonomy Management Center. This is the place where category imports / exports are managed, templates are assigned etc.
Integrates nicely with MOSS 2007
SharePartXXL is a product that I will be recommending to clients – especially clients who require (or may ultimately need) the ability for automatic categorization based on a pluggable categorization system.
- Linked taxonomy allows centralized management; tags can be moved or renamed and will be updated immediately in content.
- Master categories list appears in a hierarchically sorted format (based on path) making it easy to add new categories to the taxonomy.
- Supports import and export of taxonomies via an XML format, making it easy to synchronize with a master taxonomy schema.
- Parent categories can (optionally) be auto-selected during tagging process making it easy to implement an exclusive filtering model.
- Clever implementation of tag pages as sites for these benefits: a) a REST-like resource hierarchy for tags, b) inclusion of tag indexes in search results, c) ability to seamlessly integrate with SharePoint’s existing Site-based navigation hierarchy and d) exposure of built-in features such as alerts and RSS for tags.
- Centralized tag page template allows a site owner to customize the presentation and organization of tag pages in one place and publish out to all tag pages via a simple GUI-driven process.
- In standard view mode, automatically exposes category list as a “Related Items” field showing content related via categories.
- When selecting categories or viewing a category-based tree view, the count of associated content is always displayed.
- Provides a built in Taxonomy Administration site which includes a number of useful tools for publishing, synchronizing and recalculating categories across sites as a means of ensuring content and categories are always up-to-date.
- Category indexes can be filtered by a particular node in the hierarchy.
- Built-in logging including logging of debug messages, info, warning and errors
- Supports suggestions of tags based on evaluation of content.
- Does not appear to support multiple taxonomies or remote taxonomies
- Incapable of cross-referencing multiple tags at once;
- No support for user-contributed tags;
- Categories stored in a serialized array format which isn’t compatible with client integration (including DataView) and will require special parsing if you write custom XSL wrappers for Web Parts (such as the CQWP).
- Does not support subscription to tags.
- Multiple web parts added to library; not all of these are intended for end-users (some are infrastructure parts intended for its management console).
- Does not provide an immediately obvious way to customize the location of its Taxonomy Administration website, which always appears at the top level.
- While category indexes can be filtered by a particular node, this node must be set via it’s unique ID. While easy to lookup, this is an extra step; being able to select via a tree view of the category hierarchy would be friendlier.
- While SharePartXXL offers the ability to replicate out an “Items Template” for the tag pages, it is only able to replicate list and web part settings.
