Outstanding Product by and Outstanding Company

Edmonton Airports is a community-based, financially independent, non-share corporation that manages Edmonton International Airport - one of the fastest growing and largest (by area) major Canadian airports. Edmonton International serves about six million passengers per year and offers non-stop service to more than 50 national and international destinations.

As the SharePoint Administrator for the Edmonton International Airport, I was challenged to research and recommend a Stakeholder & Issue Management (SRM) solution by our Executives. The Airport is undergoing a major expansion and redevelopment as well as the overall management and operations integration of other regional airports and finding a solution to manage our contacts was becoming top priority.

This site identified LookOut Software as a potential supplier and was subsequently contacted. The then present SRM system was only available in a previous .NET version that was no longer being supported. We did discover that LookOut had moved all of its relationship management products into the SharePoint platform, which was excellent news indeed. After sharing our requirements with LookOut they proceeded to demonstrate the functionality of their .NET application, a Corporate Communications Relationship Management solution (CCRM), a SharePoint application, and to demonstrate how the additional functionality from the .NET system could be added to the CCRM system and produce the required SRM system. It was a very successful hybrid process to cross the SharePoint chasm and we found LookOut responsive to our needs and requests in a timely, professional and friendly manner.

We were most interested in finding an SRM in SharePoint as we could leverage our current SharePoint infrastructure, knowledge base and skill sets. Its server side pricing gave us unlimited users, as well as its ability to be easily customized by our staff or with assistance from LookOut.

Once the feasibility of the project was established there were various internal sessions with our Executive Team to ensure the system would meet our requirements and a final demonstration, the process taking about 3 months from the first contact until the order was placed.
Once the system was in development there was constant communication between myself and LookOut as details were finalized and design concepts clarified. Kerri Groves proved to be a gem to work with as her knowledge of SharePoint, business process and project management makes her a rarity.

The system was delivered in October and it was the easiest SharePoint install I’ve ever done. There have been ongoing upgrades and constant communication with Kerri and her staff regarding features and requirements we will incorporate into our SRM as they are developed in version upgrades.

The biggest test that the SRM passed was list management for two major events – our Annual AGM and the Edmonton Indy. The reviews from all have been fantastic. There are now talks in place to roll out the system to the entire organization rather than its current “test” run. We couldn’t be happier. LookOut has been so easy to work with, and Kerri especially. They have met our needs quickly and efficiently with very little disruption to our day to day activities. I would highly recommend them and their SRM.

Cons
Some inflexibility with field level security but it is expected to be fixed in the latest release.
